Promotional Video Planning - Contact with the Client + Health&Safety


Getting in contact with the client.

Here is the communication with the client that myself and Emily had. We have decided to film the pole, hoop and hammock classes at Bliss Studios and the owner seemed happy to help and was very supportive when we met her and had lots of ideas for us! Here is the voice recording that we collected in the meeting with Amanda and notes, we also made a powerpoint which we took to the meeting which prompted our ideas.

Meeting Notes: 

Audience - Amanda’s biggest client base is females who are 25 to 35 years old and we have agreed on aiming towards that audience base.
Message - Amanda wants the message to focus on the community of the studio and how welcoming and we agree that we want to focus our video on how much of a comfortable environment it is.
Direction of the Video - Amanda wants to aim it more towards getting fit and healthy and making friends so to do this we are going to interview people who come to the studio and the instructors that teach there.
Scheduling - Amanda has no problem with us filming whatever classes we want apart from beginner, so we have all agreed on Monday and Tuesday at 7:30 for pole dancing and any hoop or hammock class on Wednesdays and Thursdays at 6:30 and 7:30. 
Distribution - Amanda has expressed an interest with putting the video on her website.

Health & Safety - We have no wires or anything so there are no tripping hazards just need to be careful of the ladies doing the pole and hoop and make sure not to get in their way. 


Here is the powerpoint that we too to the meeting, we made sure to write down all of our ideas and information that Amanda needed before the meeting to ensure that we would cover all areas, this was a huge help and allowed us to stay on track and have a successful conversation. 









Here are the links I used in the powerpoint to show examples of the type of video that we can create. I picked these videos because they are all contrasting of each other, I wanted to collect a variety in terms of mode of address so that it was easier to explain to Amanda the options that she has. 






To elaborate on this health and safety section I shall explain more how we can ensure everyone in the room with us filming feels secure and comfortable. I think that it is important to go into more detail about this aspect of the process because it involves everyone who has a part in our shoot. The rooms that we film in are both very different. The hoop room is very small with two heavy metal hoops hanging from the ceiling and two crash mats below them. The students stand against the walls while they wait for their turn in the hoop leaving very little space for myself and Emily to navigate around. We want to ensure that we will not be a distraction but also not a safety hazard, this can be done by being extra aware of the people around us and making sure that we are not moving around the hoops too much or during the time that a student is in one. The space in the pole room is a lot bigger but with a lot more students and equipment and so the same rules shall apply to this room; be on high alert of students using the poles and try to stay as invisible as possible. We want the classes to be comfortable with us filming but also feel safe and not like us being there may cause an accident. Myself and Emily will also take our shoes, coats, bags and any filming equipment off that we are not using off and leaving them in the dedicated cloakroom area. This should reduce the change of us cluttering up any needed space in the room and eliminating the change of someone tripping on our belongings. We will try to keep equipment to a minimum which should be easy as Amanda has asked for a realistic documentary styled look into the classes that take place at Bliss Studios. By only needing our cameras and camera bags (that contain battery packs, SD cards and lenses) we are making sure that the space we take up is only very little and should not distract or hinder the classes from running smoothly.

Coming out of the meeting with Amanda we came to the conclusion that she wanted a promotional video that targeted women between the ages of 25-30 and promoted the community and support system that the studios offered. She mentioned that we could include a short tutorial video which would be extremely effective in giving people who are interested in joining the studios a taste of what to expect. We want to create a positive uplifting video that encourages people to join and shows off the talent that is already found in the classes. I feel that we will be able to achieve this with the help of Amanda as she was very accommodating and offered a range of classes that we film in.
